Year-end inventory that does not match is rarely because counters were careless. Without one lifecycle from requisition through acceptance, issue, transfer, and disposal, the ledger was an estimate from day one. Inventory only makes the estimate public.

Every year at inventory time, finance has one list, admin another, and user departments a third. Computers, tooling, molds, and vehicles can be pointed out on site, but location, owner, and status do not match the books. Surplus and shortage appear together, and meetings blame "poor execution." The root cause is usually earlier: asset lifecycle never entered the system; the ledger was accurate only at the moment of capitalization.

Inventory is hard because transfers and disposals are not recorded day to day. Assets move with people; books stay frozen in spreadsheets.

Requisition goes through contracts; acceptance is a receipt signature; issue is verbal; department moves skip paperwork; scrap piles in corners unreported. Finance depreciates by original value; the floor uses whoever is convenient. Mismatch is the normal outcome; a match is the exception.

Make Lifecycle Daily, Not Year-End

  • Acceptance creates the record: location, owner, serial or asset number—missing any item blocks capitalization.
  • Transfer, loan, and repair must update owner and location; verbal moves do not count.
  • Disposal requires appraisal and outbound; physical removal and accounting move together—no discard first, paperwork later.
  • Cycle-count high-value, high-churn assets monthly so year-end inventory becomes verification, not a needle hunt.
