Sales says ABC Co.; documents say ABC Company Ltd.; the carrier manifest uses another abbreviation. Some forms show Ningbo, others Ningbo Zhoushan—customs and booking each trust a different version. Half of foreign-trade errors are not "cannot handle L/C"—they are master data without a single truth. Without unified customers, products, ports, and carriers, even skilled teams copy wrong.
Build master data before talking automation. Reverse the order and automation only prints errors more neatly.
Four Master-Data Types Need One Owner Each
Customer master data covers legal name, address, tax ID, and payment terms—sales must not invent names in quotes. Products include HS codes, English descriptions, and unit conversions mapped to production part numbers. Ports and carriers use standard codes—free text is forbidden. Changes go through requests and sync to quotes, contracts, shipments, and documents; modules must not each edit their own copy.
- Deduplicate on entry: duplicate name, email, or tax ID triggers merge—no new record.
- English product names are shared across invoice, packing list, and certificate of origin—document staff must not re-translate.
- Port codes bind country and lane to reduce "looks like the port but is not."

Documents Can Generate Only After Unification
Output should draft from locked master data and shipment records—people handle exceptions only.
